System
See the maximum number of Users permitted with your Learn LMS licence. Note that the maximum permitted includes only enabled Users. View Global Settings for System to find out more.
Audit log
The log details ALL User actions. Administrators often use it to investigate significant admin actions, such as when a Group, Course, or Lesson was deleted and by which User.
Take a look at The audit log: view a record of User activity in the Knowledgebase for a video walk through of how it works.
Vocabulary
The System name and Team name detailed here can be referenced in email templates. View Global 'Vocabulary' settings for team name / system name in the Knowledgebase for more detail.
Custom fields
Create fields to record and report any information that’s important to you, for which no default field exists. For an overview of how to create and use custom fields, view Custom fields: create fields to record specific information.
To see examples of how Custom fields can be used, head to The Academy and take a look at How to use custom fields to keep a log of changes in your LMS and How to create an Event readiness checklist to keep track of your Event schedule.
User Information
Every organisation gets 20 User Information fields to record important details about your people. See examples of how User Information fields are commonly used, and learn how to manually add and manage User information fields in The Knowledgebase.
To get a broader understanding of people data, explore "The Big Picture: Data" in The Academy.
View and customise the templates and settings for all automated notifications sent to Users, managers, and administrators. For a quick overview of the options available, take a look at Notifications and messages 101.

For a summary of the end-to-end steps to create, manage and report Instructor-led training, view Instructor-led training 101.
For deeper learning, including tips for working efficiently at scale with Events, follow the below links to The Academy:
Category
Categories help learners find what they're looking for on the All Courses page, but they're also incredibly valuable for administrators.
View Use categories to organise LMS content to see how categories can be used to keep Learn admin neat and tidy, and to produce granular reports.
Managers
View 3 key settings to configure and customise the Managers experience:
- Instructor-led training: empower managers to book/manage Events for their team
- Data health check: identify inconsistencies in your manager data
- Senior manager view: enable senior managers to see in 'My Team' everyone below them in the organisational hierarchy
View Manager settings in global settings for a video walkthrough of the settings.
Video and eLearning
View and edit settings for all content imported to Learn LMS, and also settings for User-generated content. For a quick reminder of the steps to import content, take a look at these quick reads:
With User-generated content, experts can create and share videos via Learn LMS, with your approval. It's a great way to boost engagement, encourage knowledge sharing, and retain essential knowledge when employees leave.
View Switch on and use user-generated content (UGC) to find out more.
My images
Add your own images to the default library. Images can be used for Course and Lesson cards.
View Add your own images to the Course and Lesson card image library to see how to add and manage images, and get design tips for creating your own images.
Offline app
Enable learners to download e-Learning and view when offline. When they reconnect, their progress or result will be updated within Learn.
View Offline mobile app for more information.
Accreditation compliance
Activate a User dashboard showing a summary of progress with Accreditations (for specified Accreditations). View User / Manager view of Accreditations to see how this looks to learners and managers.
For an overview of Accreditations, view Repeat training with Accreditations 101 in The Knowledgebase. For deeper learning take a look at Repeat training with Accreditations in The Academy.
Share and recommend
Boost learner engagement with the additional option to allow managers to mandate learning for their direct reports. View Enable Users to share and recommend courses... to find out more.
Other settings
Activate and deactivate specific features and view the last batch processor time (when emails and notifications were last sent in bulk).
View Other settings in global system settings for more detail.
LMS role
View, edit, create, and assign LMS roles. For the big picture of LMS roles and responsibilities, take a look at LMS roles and Responsibilities 101.
Depending on their LMS Role, Users can also be given limited access to Learn admin to perform specific tasks. For example, you can delegate event admin to a trainer or give a subject matter expert ownership of a specific Course(s) and associated activities.
External systems
Set up and manage integrations with external systems. Contact your Kallidus representative to find out more.
Policies
View Add your organisations privacy policy to the Learn LMS footer to see how to set the privacy policy, and how it appears in Learn LMS.
