In this article, we'll demonstrate how to share and recommend courses directly in Learn, and externally via email, MS Teams, or another other messagin app. We'll also show how managers can assign mandatory learning to their team members.
Enabling your people to share knowledge with the 'Share and recommend' feature is a great way to build engagement with your LMS, and grow a culture of learning in your organisation.

We'll cover how:
- Administrators activate the sharing and recommendation features
- Users can share and recommend Courses directly in Learn LMS
- Users can share and recommend Courses outside of Learn LMS
- Managers assign mandatory Courses to team members
Note that it's possible to allow Users to Share and Recommend Courses, but NOT allow managers to make Courses mandatory for team members.
Users can share all Courses they can see with anyone across the organisation. Courses appear as recommendations for Users on the Home page in the ‘Recommended Courses’ carousel. This section is populated based on:
• Content recommended by others
• Highest star-rated content if no User recommendations are available
If a Course is shared with a learner but they don't have access to it - because it's not assigned to them as mandatory or oprional learning - they willsee a message stating that the learning is not available to them.
Steps to activate Sharing and recommendations
- Browse to the Settings area of Learn admin:
- Select Sharing and recommendation from the Settings Administration menu
- Set the toggle switch to 'Yes':
- To permit managers to assign Courses as mandatory for team members, set 'Show mandatory assignment toggle' to 'Yes'
- Select Save to keep the changes
Steps for Users to share and recommend Courses directly in Learn LMS
- Select the Share Course option on the Coursecard:
- Select the Users(s) to share the Course with:
- Add a comment if required
- Select Share. The specified Users will receive an instant notification. The Course will appear in the Recommended Courses Catalogue on the Learn homepage.
Steps for Users to share and recommend Courses outside of Learn LMS
- Select the Share Course option on the Coursecard:
- Select Copy link. A link directly to the Course is added to your clipboard. Paste into anyt messaging app to share with peers:
Steps for Managers to assign mandatory Courses to team members
Note that Managers can view all Users in Learn. However, a Manager can only make a Course mandatory for direct report. Any users selected in step 2 , will see the Course as a Recommendation only.
- Select the Share Course option on the Coursecard:
- Select the Users(s) that must complete the Course. s.
- Add a comment if required
- Select Make this mandatory for my direct reports - yes:
- Select Share. The specified Users will receive an instant notification, and the Course will appear in Courses I have to do.
Configure recommendation notifications
Learn notifies recipients via email and via MS teams (if configured). The content of messages can amended to better suit the tone of emails preferred in your organisation.
