In this article, we'll explain how to switch on User-generated content in Learn, how your people can share videos, files and URL links, and how to moderate content ahead of sharing more widely.
Enabling your people to share knowledge in Learn LMS is a great way to encourage knowledge sharing and to ensure key knowledge is retained when people leave the business. You decide who is able to share content, and also who is able to see shared content.
A few things to know about User generated content:
- Users can upload a pre recorded video, file or share a URL link
- The supported file types are .pdf, .docx, .ppsx, .pptx, .xls, .xlsx, .jpg, .jpeg, .png, .gif
- When accessing Learn using a mobile device it is also possible to record a video in-app
- It is possible to nominate multiple moderators in your team
- When content is approved, a Course and Lesson is created
- The Course is automatically assigned to a 'User generated content' Catalogue
- Lessons can be added to other Courses as required

Steps to switch on user-generated content and set your moderators
- Browse to the ‘Settings’ area of Learn admin:
- Select 'Video and eLearning' from the administration menu:
- Toggle the switch to ‘Yes’ against ‘All Users’ to allow all Users to create and upload user-generated content. Now go to step 9:
- Toggle the switch to ‘No’ where only specified individuals/Groups are required
- Select specified individuals/Groups by typing in the search field 'Choose individuals or groups'. Result details are displayed as you type for ease of selection:
- Select the User/Group to add from the results displayed. This populates the details in the selection field
- 'Select Add individuals or groups' where further Users/Groups need to be added:
- Repeat steps 5 and 6 to continue adding more Users/Groups if this is required, and repeat until all Users/Groups have been selected
- Select 'Save' to submit and confirm the details
- Choose who will have responsibility for moderating content. Multiple names can be added. If no moderators are selected then content will automatically moderate:
- Select ‘Save’ to submit and confirm the details
Steps for Users to share their knowledge
- Select ‘Share your knowledge’ from their Learn home page:
- Select 'Share or record a video', ' or 'link to URL'. If viewing on a mobile, it will also be possible to record a video:
- Add details for the video title in the 'Share your knowledge' pop-up window
- Add a short description in the 'Share your knowledge' pop-up window
- Select 'Upload' to submit the video. The moderators will be notified that a video needs review once the video is fully uploaded
Steps for a moderator to approve/deny uploaded content
Follow the steps below for moderator actions:
1. Select the notification that is automatically sent to a moderator when someone uploads content:
2. Select the direct link to go to the content requiring moderation
3. Select either 'Publish' or 'Decline' after viewing content:
That’s it! Approved content will automatically appear in the user-generated content Catalogue.

Hello, when user-generated content is uploaded and approved to the user-generated content catalogue, is it visible to all users of the system or can access be limited to certain groups and individuals for example a specific team? Thanks, Helen
Hi Helen. Yes, all content is added to a 'User-generated content' Catalogue and you can choose which Users are assigned the Catalogue. You can also split out the Lesson from the Course, and assign it to any other Course.
