What are Lessons?
Lessons are the learning content. A Course is a container that packages and delivers Lessons to learners.
To share learning, Lessons must be added to a Course, and the Course must then be assigned to learners. If you haven’t created Lessons yet, here are some links to get started:
- Instructor-led Lessons for in-person or online training
- URL Lessons (to signpost content anywhere online, e.g., YouTube, your intranet)
- Import and share SCORM, PDF, XLS, PDF, Doc files
- Video Lessons for MP4 and MOV file types
- Document upload Lessons (for learners to provide evidence of learning completed externally)
- Competency Checks, through which learners can demonstrate proficiency
Steps to assign Lessons to a Course
Watch the video to see how, or follow the steps below:
- Browse to Course to view a list of all Courses in Learn:
- Select a Course title to open it (or create a new Course if the course doesn't yet exist)
- Select Lesson from the Course Administration menu - Any existing Lesson assignments will be listed
- Select Edit to view existing/make new Lesson assignments:
- Use the search to filter the list, and select the required Lessons by checking the box next to the Lesson title:
- Select Submit to save the assignment

Consider the “many-to-one” rule when assigning Lessons:
- Many Lessons to one Course: Start from the Course if you have multiple Lessons to assign.
- One Lesson to many Courses: Start from the Lesson and use the Course option to select the relevant Courses.
No matter which way you do it, the end result is the same: the Lesson(s) and Course(s) are linked and ready for learners.
Why assign Lessons to multiple Courses?
Multiple Lessons of any type can be assigned to a single Course, and a Lesson can also be assigned to as many Courses as you need. Assigning the same Lessons to multiple Courses allows you to:
- Reuse content efficiently
- Tailor learning for different audiences
- Maintain consistent training across your organisation
- Reduce duplication - update the Lesson once, and every Course using it stays current
Common use cases include:
- Onboarding content reused in role-specific or refresher Courses
- Compliance or safety Lessons required across multiple teams
- Foundational Lessons reused in both beginner and advanced learning paths
- Shared topics (e.g., customer service basics) used in Courses for different departments
- Organisation-wide updates that need to appear consistently in all relevant Courses
Adding Lessons to a completed Course
If you add new Lessons to a Course that a learner has already completed, their Course status will change from Complete to In Progress. This is because the new Lessons are additional requirements. Once the learner completes the new Lessons, the Course status returns to Complete.

Updating Lessons delivered online
Sometimes it's necessary to update content with a new version, perhaps to correct a typo or update branding. View the articles below to see how:

Further Lesson options
To view all assigned Lessons for a Course, select Lesson from the Course Administration menu. From here, you can:
- Change the sequence of the Lessons within the Course
- View/Edit Lesson assignments
- Offer learners a choice of Lessons to complete the Course
- Force the order in which Lessons should be completed
