Learn - Customise an email template for a specific Course, Lesson, or Event

In this article, we'll show how to create a customised version of a global default template, for a specific Course, Lesson, or Event. For example, a booking notification for a specific Event could be tailored to include joining instructions unique to the venue at which it is being hosted.

This is a great way to deliver essential information to your learners, in the normal flow of work. On the flip side, each time a custom version is created you're also creating additional admin - so make sure that if you do create a custom email, that it is required, and that it is documented (Custom fields can be useful for this purpose).

Background

Every email notification is sent according to a specific trigger. When an email is triggered the appropriate global email template will be populated with the relevant information and sent to the User(s). 

For this example, we'll change the default EventBookingBookedUser email template (sent when a learner books/is booked onto an Event).

Steps to customise an email template for a specific Course, Lesson, or Event

1. Browse to the Event (or Course/Lesson) for which a custom email template is required.
2. Select ‘Email Template’ from the Event Administration menu:
3. Select ‘New’. A list of notifications appropriate to the system area will be shown. For this example, only 'Event level' templates are shown.
4. Select the template for which a custom version is required:
5. Select 'Add' to add the template. This adds an exact copy of the global template, ready for you to change it when triggered for this specific Event:
6. Select Edit. The template can now be edited as required. Whenever the template is triggered for this specific Event, the customised version will be sent in place of the global default:
