The Event management and analysis report provides high-level summary metrics, and detailed insights about past and future Events, to help you plan your Event schedule, and effectively manage capacity.
From the summary metrics, you can apply specific filters to drill down into the details with just a few clicks, allowing you, for example to:
- Spot trends for Event 'no-shows'
- Spot trends for Event cancellations
- Monitor and manage capacity for future Events
- See which Events have the highest and lowest attendance
We'll summarise what the report includes, and how it might be used, along with the filter and drill-through options available.
We'll cover:
- The Event management dashboard
- Video tour of the Event management and analysis report
- How to use filter and drill-through with this report
- Your FAQs answered
Event management dashboard
The report dashboard is split into two key areas - 'Events in the past', and 'Events today and in the future':
From either selection, you can drill through to look at a detailed list for past/future Events. To see all Events, select 'All events'. Filters can be adjusted to include or exclude unenabled Users.
Note that Event efficiency rates are only calculated where the event has an entry for the maximum number of attendees, here in Event | Booking management:
The report has a data export limit of 150,000 rows.

How to use filter and drill-through with the Event management and analysis report
There are two key techniques to get from the summary to the detail.
Apply filters at 3 levels
As with all fixed reports, the Event management and analysis report is supplied with a selection of filters to help you find the detail you're looking for. There are 3 places where filters can be applied: to all pages, to this page, and to a specific visual.
Watch the video below to see the filters configured for this report:
Data drill-through
Data drill-through takes you from summary-level information, right through to the granular detail you need. Watch the video below to see examples with Event management and analysis report:
Your FAQs answered
Follow the links for detailed step-by-steps to answer key questions about learning activity. In each case, we'll share options to dive further into the detail and get exactly the information you need:
- How can I monitor and manage Event capacity?
- How can I spot trends with Event cancellations? Do specific people, teams, or lessons cancel more often?
- How can I find out which Events have the highest and lowest attendance?
- How can I spot 'no-show' trends for Events? Are specific people, teams, or lessons more affected?
- How can I view Events for a specific date range only?
How often does the reports database refresh?
- The report database refresh twice a day
- A time stamp showing the most recent database refresh is shown in every fixed report
- The 'database refresh' time stamp can also be added to a user-created report
- Each Dataset is refreshed individually, so the time stamp may differ between reports using different Datasets
- Where a fixed report and a user-created report are built using the same dataset, the time stamp will be the same
