In this article, we'll explain the main uses of the Evaluations Report, which is available to all Power BI customers.
An administrator can assign an evaluation form to a Course, Lesson, or Event in Learn. This form might be the standard evaluation form in Learn (the 'Recommended Form') or a custom form added to Learn to meet other evaluation needs. The Evaluations report includes:
- The number of evaluation requests sent, received and pending for Courses, Lessons and Events
- The percentage of completed evaluations received compared to the total number requested
- The overall CSAT (Customer Satisfaction) score
- The overall NPS (Net Promoter Score) score
- The overall Star Rating (on a scale of 1 to 5) score
- The option to drill down and view details for a specific question or specific user

Question and answer analyser
The report dashboard includes a ‘Question and answer analyser’ that allows details of how specific questions were answered to be examined more easily.
This is useful to help uncover details that are of particular interest, such as responses to a specific question type or even for one question, such as how much of the learning was applied to the job. It can also inform decisions and conversations with stakeholders.

Tips when using the question and answer analyser
Filters are essential for finding the right level of detail. Without them, you'd see a lot of data, which can waste time.
Enabled and un-enabled user data is shown as standard in this report. There is an option to amend that via the filters
Evaluations can be filtered based on the requested date and the evaluation's completion date. However, filtering by 'date completed' removes any outstanding evaluations. Therefore, we recommend using the date requested as your go-to filtering approach.

How often does the reports database refresh?
- The report database refresh twice a day
- A time stamp showing the most recent database refresh is shown in every fixed report
- The 'database refresh' time stamp can also be added to a user-created report
- Each Dataset is refreshed individually, so the time stamp may differ between reports using different Datasets
- Where a fixed report and a user-created report are built using the same dataset, the time stamp will be the same
