There are two main reasons why a user account may be un-enabled/disabled - either as a one-off action, or a repeated action. In this article, we'll explain what those reasons are and how to put things right.
1 - Missing/inaccurate information in the automated People-data feed
If the User account is getting unenabled regularly, then it's very likely that the Datafeed is the reason why. There are two things to check:
- Is the User present on the latest data file/the file from the date you noticed it was disabled?
- Does the User have a leave date populated on the file that is now in the past?
If the User is not present in the data feed, they may have been manually added to Learn. This might be necessary for example, to add a test User account, contractors, temporary workers, and seasonal staff. However if a User is manually added, the automated feed (when it next runs) will:
- See that a User exists in Learn for which there is no matching profile in the People Data feed
- Assume this User has left the organisation and unenable the account
This can easily be avoided. View Prevent manually added Users being unenabled by the People-data feed for steps to keep manually added Users active in Learn LMS
2 - The user has a leave date
Leave Dates are the second most common reason for a user account being unenabled. This is closely linked to an automated action in the automated People-datafeed.
The automated People-datafeed can be configured to automatically unenable a user account when a User leaves the organisation. When that happens, the Leave Date for that user can be automatically populated with the date.
An administrator can enable the User again, however the leave date remains. And so next time the People data feed runs, the User will be unenabled because the leave data has been met. Where this is the case the problem must be corrected in your People data source.
