In this article, we’ll show you how to use the Future Event Dates Notification report so you can better match event supply to learner demand. This report is your go-to tool for balancing event availability with learner interest - so no one misses out on the training they need or want.
In Learn, Users or their managers can submit a notification request when they want to attend an event that is either not currently scheduled or doesn’t have a suitable date. This lets Learn administrators know there’s interest in a particular lesson - even if no sessions are currently available.
The Future Event Dates Notification report brings all these requests into one place to help administrators track and respond to this demand. It provides visibility over how many learners are waiting, what they’re waiting for, and how well the current event schedule is meeting demand.
Reviewing this report regularly helps you:
- Spot where demand for Events is high
- Plan Events when and where they’re needed
- Keep learners informed and engaged
What the Report shows
The report offers several key insights to help you with planning:
Number of Notification Requests
View how many people have requested a future event date. These are split between:
- End Users: Individuals asking about dates for their own learning.
- Managers: Requests made via the ‘My Team’ dashboard for their team members.
Scheduled Future Events
See how many events are already planned for the lesson in question. This helps you identify gaps - e.g., there may be events available, but they’re in the wrong locations or already full.
Available Event Places
Understand how much capacity is left in scheduled events. Note that this data is only available if you entered a value in the ‘Maximum attendees’ field when setting up your events in Learn.
Filters and Customisation
- The report is pre-filtered to show requests from the last three months by default.
- You can adjust the date range or apply other filters to narrow the data down to the lessons, audiences, or teams that matter most to you.
Drill Down for Details
By clicking into the main dashboard metrics, you can access detailed data tables that list the individuals who have submitted requests. These tables include email addresses, which makes it easy to:
- Reach out to users who are waiting for an event
- Share updates on when new dates will be available
- Communicate changes (e.g., no events planned for the rest of the year, but new sessions coming soon)
