Reporting - How do I find the mandatory Course completion rate for a Group of Users?

In this article, we'll show how with just a few clicks, you can find the overall Course completion rate for a Group(s) of Users. Then, we'll dive deeper into the report to get more detail about the completion rate, including: 

To answer this question, we'll use the Learning progress report. Note that by default, the Learning Progress report is pre-set to include mandatory Course assignments only. View this article to see how to switch to view optional assignments.

Find the overall Course completion rate for a Group(s) of Users

For this example, we'll look for a Group called 'Marketing' to see the overall completion rate. To repeat these steps in your site, select at step 4, a Group to which you have assigned mandatory Courses.

  1. Open the Learning progress report
  2. Find the Group title filter (Group lists ALL Groups, including Primary groups):
  3. Select the filter to open the properties:POWERBI_LearningProgress_SelectGroupFilter.png
  4. Select the Group or Groups, for which you would like to see the overall completion rate. Use the search if required. For this example, we'll find a Group titled 'Marketing'. When a filter is active, the background colour will change to dark blue:POWERBI_LearningProgress_GroupSelctedInGroupFilter.png

Here's your answer!

With the filter applied the answer is in the 'People' summary. For this example, there are seven people in the Marketing Group. One of those people has completed all Courses assigned to the Group, and six people have not:POWERBI_LearningProgress_PeopleDial.png

Note that by default, the learning progress report is filtered to show only mandatory Course assignments, but that can be easily changed to also include optional assignments, or to include both mandatory and optional assignments. Filter the report by User fields

In this example, we filtered the learning progress report to show results for members of specific Groups only. However, there are other filter options you may also use.

You may wish to filter the report by a User field, if that field contains the information you need to slice it. User field filters appear towards the end of the filter list:

See the names of Users who are/are not fully compliant

  1. Follow the steps above to see the names of Users who are/are not compliant
  2. Select View on the People summary metrics:POWERBI_LearningProgress_PeopleDial_SelectView.png

The resulting data table lists all Group members and their learning activity. Course completion progress is highlighted here:POWERBI_LearningProgress_CourseCompletionProgress.pngIn this example, only Fiona Hindmarch (top row) has completed all 9 Course assignments (see the 100% progress in the highlighted column). Note that the list of Users is sorted by completion progress, select a different column title to change the sort order as required.

Filter the list of Users to show only those who are not compliant

Note that the filter you selected earlier, is applied to all report pages:POWERBI_FiltersOnAllPages.png

If there are a large number of results in a data table, it may be desirable to apply a further filter to a specific visual in the report. For this example, a filter might be added to show only Users with less than 100% completion. 

Follow the steps below to see how:

  1. Follow the steps above to see the names of Users who are/are not compliant
  2. Select the edge of the table visual. Note that a new selection of filters will become available, which will apply to this visual only. This list will include all the values present in the data table:POWERBI_ClickIntoVisual.png
  3. Use the search to find the Course Completion progress filter:
  4. Select the filter to open it. 
  5. Populate the filter criteria. To set the filter to show '... is less than 100%' enter the value '1'. To set set the filter at 90% enter '.9', to set at 80%, enter '.8' and so on. For this example, the filter criteria is set to show results only when the course completion progress is less than 100%:POWERBI_CourseCompletionFilter.png
  6. Select Apply filter. The data table now shows only Users where the Course completion rate is less than 100%:POWERBI_LearningProgress_CourseCompletionProgressLess100Percent.png

Export, save, and share the results

Now you have the results, what next? 

To print the screen straight to PDF, select CNTRL+P. Alternatively, use a snipping tool to grab a specific area.
