In this article, we'll show how to configure an Event so that it is visible to specific learners only, ensuring the right people are able to book and attend an Event.
This can be really useful for example, when running Events in different regions and only employees local to the venue should be able to book it. Or perhaps the training is tailored for specific audiences on different occasions that it is delivered.
Background
This option is controlled by Groups. By default, all Events are automatically visible to everyone in the 'All Users' Group. However, this can be changed so that an Event is visible to a specific Group - or Groups - of your choosing.
For example, a Course might be assigned to everyone in the organisation, which means that all learners will see it. However, if an Event for that Course is restricted to a specific Group, then it will not be visible to learners who are not members of that Group. They may see different Events, or no Events, depending on how the Events are set up.
Steps to configure an Event so that it is visible to specific learners only
- Navigate to an existing Event in Learn.
- Select 'Edit' to view the Event properties:
- Select Group from the Event Administration menu. The 'All Users' Group will be selected - this means that any Users who can see the Course will be able to see this Event:
- Unselect the 'All Users' Group
- Select 'Submit' to save the changes. This Event is no longer visible to any learners
- Select the Group - or Groups - of learners who should be able to see this Lesson
- Select 'Submit' to Save
Look out for this message, and if you see it check the 'search' criteria. The 'All Users' Group may still be selected, but is filtered out by the search criteria as in this example:
