In this article, we'll show how to set up an Accreditation so that learners must repeat learning on a timescale defined by your team. Accreditations play a key role in ensuring employees stay compliant with learning essential to their role.
Accreditations are often used with mandatory learning such as Fire Safety, GDPR, and Anti-Bribery, for example. However, Accreditations can also be used with optional learning.
A few things to know about Accreditations:
- Accreditations are assigned to Lessons, not to Courses
- A Lesson is repeated based on the date it was last completed - it's a unique cycle for everyone
- Learners can see an overview of Accreditations in the learning dashboard
- Managers can keep track of their teams' progress with Accreditations in the manager dashboard
- Use an elective set to give Users a choice of Lessons to achieve the Accreditation

Where a Group hierarchy has been created, Accreditation assignments do not cascade
When a Lesson with an Accreditation must be repeated, the Course to which it is assigned will move from 'Courses I've done' back into 'Courses I have to do' (see above).
Steps to create an Accreditation
Note that creating an Accreditation for a Lesson to repeat is a separate action from assigning the Course to your people. For example, if the learning that must be repeated is a mandatory Course, the Course must already be assigned as mandatory learning before following the steps below.

- In Learn admin, browse to Accreditation:
- Select New to create a New Accreditation
- Select Continuous Accreditation (select 'Fixed' for an Accreditation that does not repeat):
- Add a Code (visible only to Learn administrators)
- Add a Title (visible only to Learn administrators)
- Specify the Expiry date for the Accreditation (days, weeks, months, or years):
- Populate the Tell learners field. This determines how many days before expiry, the Course will move from 'Courses I Have Done' back to 'Courses I have to do'. Note that it may be desirable to time expiry reminders for the same date
- Select 'Highlight in learners 'My Accreditations view' (if required):
- Select Submit to create the Accreditation
The Accreditation is created. The next step is to specify the learning that must be completed to achieve it and the Users who are required to achieve and repeat it.
Steps to assign Lesson(s) and Group(s) to an Accreditation
In the below steps, we'll show how to specify the Lesson(s) that must be repeated in order to achieve the Accreditation, and the Group(s) of Users who are required to achieve and repeat the Accreditation.

Select Lesson from the Accreditation Administration
menu:
- Select Edit
- Use the search options to find the Lesson that must be completed in order to achieve the Accreditation

Select the checkbox to assign the Lesson(s) to the Accreditation.
Note that if multiple Lessons are assigned, then the Accreditation will
be achieved if any of the Lessons
have a complete status:
- Select Group from the Accreditation Administration menu
- Select Edit

Use the search options to find the Group(s) of Users
required to achieve and repeat the Accreditation:
- Select Submit to save the assignment.
Optional settings for Accreditations
The below table describes the key optional settings for Accreditations, and when they might be selected.
| Setting | Definition |
| Apply this expiry date to the most recent Accreditation assignments that have not expired | The expiry date for an Accreditation can be updated at any time. By default, any change will apply to new Accreditation assignments only. Check this box to also change the expiry date for existing assignments that have not yet expired. |
| An Exempt Lesson counts towards Accreditation completion status | A lesson might be given an Exempt status manually by an Administrator, or if the Lesson was not selected when included as part of an elective set. |
| Include disabled Lesson statuses when calculating status and dates | Unenabled Lessons are not visible to learners. An administrator might unenable a Lesson when a newer version is available. Check this option if the completion of an unenabled Lesson is still valid for the Accreditation. |
| Highlight in learners 'My accreditations' view | When this option is selected, the Accreditation will appear to learners in the 'My Accreditations' dashboard, alongside 'Courses I have to do' |
Exclude 'long term absent' Users from training assignments and compliance reporting
During a period of extended absence, it is often required that an individual not be assigned - or expected to complete - any mandatory training and be excluded from the organisation's overall compliance stats.
However, during a period of extended absence, it is often desirable for a team member to retain access to Learn LMS, for example, to get access to 'Wellbeing', 'Return to work', or other optional content.
