In this article, we'll explain how a Competency check is arranged and completed. A Competency Check can be configured so that any/all of the following can view and sign off the check:
- the Users manager
- the Course Tutor
- members of specified Group(s)
- Administrator(s) of a specified Group(s)
When viewing the Competency Check, the User will see a list of Users who can sign off on it and can make contact with any named individual to make arrangements for the check.
When completing the check, the checker can:
- Add notes (visible only to the manager in their My Team User area)
- Add attachments (visible only to the manager in the My Team User area)
- Backdate the Competency Check

Steps for a checker to sign off a Competency check
- Select Competency Checks from the home screen menu options. This tab will only appear if the User has the ability to sign off checks (view Create a Competency check to see how):
- The checker will see all Competency checks for which they are nominated as a 'checker'
- Find the User - there may be several waiting for attention, so identify the correct User from the checks displayed
- Select Start Check
- Review the assessed task description and conduct the check
- Select Pass or Fail:
- Add comments and attachments as required. These will then be visible to the User's manager in the My Team area for the individual User's information
- Enter the date of the check (if this option is available). Administrators can choose if it is available for the checker
- Select Save to submit and complete the check.
The option of Complete check, if visible, will just close the form.
When a competency check is marked as a Pass
What the Manager sees
When a competency check is marked as "Passed," the details become accessible to the Manager through the My Team area. Managers can expand these details using a drop-down to view any notes recorded by the checker:
What the User sees
Users will see the corresponding Lesson tile marked as "Passed.":
When a competency check is marked as a Fail
If a check is marked as "Fail," the learner and the checker can arrange for a retake of the check.
What the Checker sees
The checker will see a confirmation message when saving the failed details, along with suggested next steps:
The check will again display as one to be completed in the Competency Check area, ready for any sign-off actions to be completed.
What the Manager sees
Managers can view failed assessments in their My Team area, including:
- The date of the failed assessment
- A drop-down to view any notes or uploaded files added by the checker (visible only to the Manager)
Only the most recent result is shown. If a subsequent check is passed, the failed result is overwritten with the latest outcome, including updated notes and any attached files.
What the User sees
The Course tile will show that the Course is not completed:

The 'Find out more' view of the Lesson tile shows details about the check activity and lists the checkers. The information visible here is what was added when the Competency Check was created:
