In this article, we'll explain the main uses of the People Overview Report. The report summarises high-level activity in Learn and Perform, providing top-level information about Courses, Objectives, and Reviews.
Among the things the report contains are the following:
- The number of courses that are complete and not complete
- The number of non-complete courses which are non-complete because they have expired (i.e. a repeat training deadline has been missed)
- The number of reviews that are complete, incomplete, and overdue
- The number of objectives that are complete, incomplete, and overdue
- A stacked column chart showing future activity over the next 365 days*
*This includes the number of courses that will require repeat training, the number of reviews that will be due, and the number of objectives that will be due.
Effective filtering will be crucial to getting the most from this report.
Data visible in the report
Pre-applied criteria have been applied behind the scenes, which means the data returned will only show enabled users. Additionally, it will only contain current course assignments in Learn. The courses must also be enabled. When it comes to the Perform, any archived objectives or reviews have been excluded. This gives a more ‘here and now’ flavour to the data on show.
Note also that the Learn security model determines what data a report user will see in this report. It does not currently reference the Perform security model. This means that you will see data based on the permissions that the report viewer has to view Users in Learn, including any Perform summary data about those individuals.
People Details
Select 'People details' on the main dashboard to see how your people are progressing with currently assigned Courses, current reviews, and current objectives:
The colour-coding used in the columns called 'Course progress', 'Review progress' and 'Objectives progress' is independent of one another. So a single user could have the highest values for all three columns and would show as the darkest blue for each, even if the user's percentages were 25%, 50% and 75%. The user is the darkest blue for each because they have the highest value in each of the three columns.
In the unlikely event that every value in a column is exactly the same, the darkest colour would apply. Even if that value is 0% for the entire column.
Switch to filter data by your User information fields
Select the ‘Custom field details’ button on the main dashboard to reveal a menu of additional views of your data. This enables you to easily see your data arranged by any of the 20 custom User information fields available in your Learn site:
Additionally, you can also choose to see the data by Primary group, Primary job profile and Preferred training location.
If some choices will be regularly used, this may be a good time to save them as a View for easier access when you run this report in the future.
