In this article, we'll explain how to give a User permission to access all-new reporting and analytics powered by Power BI. Administrators can choose between two levels of access: access to fixed reports and reports created by the team, or the same access with the additional ability to create and edit reports.
In this article we'll cover:
- Enable a User to view and edit reports
- How to allow a User to view ALL data - even if otherwise restricted by the security model
Enable a User to view and edit reports

- Browse to the Manage Users area:
- Find the User that requires access to reporting.
- Select Actions
- Select Edit:

Scroll down to the 'Roles' section. There are two options here: 'Reporting' and 'Edit' reports. Select 'Reporting' and the User will have access to view the Fixed reports and reports created by colleagues. Select 'Edit reports', and the User will also have access to create and edit reports:
Note that:
- Enabling the 'Edit reports' option does not grant immediate access. It may take up to an hour for permission to become active
- The black bar (with Learn, Perform, Manage Users and Reports) is not visible when impersonating a User
Allow a User access to ALL data - even if otherwise restricted by the security model
When users are given access to reporting and analytics, their view of the data is dictated by the permissions associated with their role.
For example, if a Manager is given access, they will see results for their direct reports only. Any User who is a Group administrator will see data about members of any groups for which they are a Group administrator.
In some circumstances, however, it may be beneficial to allow a User unrestricted access to see all data in Learn LMS, for example, an LMS Administrator or a senior manager. To achieve this, add the ACL permission to the Users' role: Admin.Reports.PowerBI.ShowAllData
