We're changing the way that welcome emails get sent to new Users. In this article, we'll explain how to check these emails and upgrade to them.
We will be in touch with you about this process when it is your time to upgrade. You can only edit the new welcome email once you are upgraded to our new identity solution.
A welcome email can be sent when a new User is added to Kallidus systems. This can help to ensure a smooth onboarding experience and can build engagement. If switched on, these emails will welcome people to your system when they are added manually, added via the manual import or added via your datafeed.

How we will communicate with you about this email upgrade
We will post a message into both Learn and Perform admin informing you it is time for you to upgrade.
You will have a month to check the welcome email and ensure it works for your organisation. After a month, the new welcome email will start to send and your current one will stop sending.
How to check the new Welcome email and complete the upgrade
To check the Welcome email:

Browse to Manage users.
- Select Emails.
- Select Edit against the Welcome email
- You can edit the text and tokens within the email. The email will automatically include your branding
- Once you have completed your changes, select Save
- Return to the Emails page
- Select Upgrade. This will upgrade you to the new welcome emails, and start sending your newly edited email from this point forward. At this point, the upgrade is complete, no further action is required.
Note: If you are sending welcome emails in multiple languages, you can use the Locale dropdown to edit emails in each language. Remember to save your edits before moving to the next language. Only purchased languages are shown. Language packs can be purchased if required.
Things to consider when editing the welcome emails
- Think about your audience and how they refer to your systems.
- We are moving away from supporting fixed passwords in emails (this was available for some customers previously). Your Users will now be invited to follow a link and set a password before starting to use the system. The wording of the welcome email has been changed accordingly to reflect this, please make sure you check this.
- Be sure to consider how people log into your system. If you have a mix of those using SSO and those using username and password, then be sure to put in enough information for all users to log into the system.
- Be sure to include important information like the username. Your users will not know this.
- Branding is automatically added to the email when it is sent.
- The email will always come from noreply@kallidus-suite.com
