In this article, we’ll show how to add conditional formatting to a table Visualisation in a Power BI report.
Conditional formatting makes key metrics stand out, and helps your report users to understand the data more easily. Specific cell colors, including color gradients, can be shown based on field values.
In this video, we look at how to modify the background color of the cells in a column of data to show different levels of accreditation completion.
Steps to apply conditional formatting to a Table Visualisation
For this example, we'll add a conditional background colour to a Table.
- Add a Table Visualisation to a report
- Click to select the Table Visualisation on the report page
- Open the Visualisations panel:
- Select the 'down arrow' for the Column you'd like to add Conditional Formatting:
- From the resulting menu options, select 'Conditional formatting' then, Background colour:
- The default option is for a blue gradient background. Cells containing lower values are in light blue, higher values are in dark blue. If this is sufficient, select OK to close and apply. Colours can also be applied to a cell where the value falls in a specified range. Continue to step 7 to find out how
- Select 'Rules' from the 'Format Style' drop-down menu:
- Select 'New Rule':
- For each new Rule, you can specify the conditional value and the colour of the conditional formatting. In this example, 3 rules are applied. The table cell will be coloured either red, amber, or green when the cell value (as percent) is in a specified range:
- Select OK to save and apply the conditional formatting
