Learn has two standard reports when it comes to accreditations: the Accreditation Detail report and the Accreditation Trajectory report.
We will soon be making some tweaks to the way they both work. This will give you more up-front choice about what data you’ll see. The changes will also ensure that the numbers match, by default, when you run either report.
Here’s what we have got planned.
Both reports will have an extended range of up-front prompts. This will put you in control of what data you see. Here are the choices that you’ll be offered when running either report:
- A dynamic start date and end date selection based upon the Accreditation Expiry Date object (this is currently available on only the Accreditation Details report). Leave blank to see all dates.
- Choose the Accreditation Categories you want.
- Choose the Accreditation Codes you want.
- Choose the Accreditation Titles you want.
- Choose the Accreditation Types you want.
- Choose the User Group Categories you want.
- Choose the User Groups you want (a default of ‘All users’ will be pre-selected)
- Choose whether you want enabled and/or un-enabled users (a default of ‘Yes’ for enabled users will be pre-selected).
- Choose whether you want enabled and/or un-enabled accreditations (a default of ‘Yes’ for enabled accreditations will be pre-selected).
- Choose whether users should be a member of a group to which the accreditation is assigned.
The new prompts are similar to the ones you will see on other Learn reports.
The one to pay special attention to is the last one: ‘Choose whether users should be a member of a group to which the accreditation is assigned’. Let’s dig into that one in a bit more detail.
An accreditation can be assigned to a user because they are a member of a specific group to which the accreditation has been pre-hooked, or the accreditation can be directly assigned to the user. The new prompt will allow you to choose whether you want data about one, the other or both. Here’s an example.
You have an accreditation called ‘Accredited First Aid Responder’. In total, 15 people are assigned to the accreditation.
Nine of the 15 people are members of a group called ‘First Aid Responders’, and that group is linked to the accreditation. The remaining six people are not members of the group, but the accreditation has been assigned to them on an individual user-by-user basis.
If you run the either accreditation report for the ‘Accredited First Aid Responder’ accreditation, the changes we are making mean you will get the following numbers in your report:
- 15 users will appear if you run the report without adjusting the group membership prompt.
- 9 users will appear if you run the report and select ‘Yes’ for the group membership prompt.
- 6 users will appear if you run the report and select ‘No’ for the group membership prompt.
Other notes:
- If you already have saved versions of either accreditation report, these will be unaffected. Should you prefer the new-look reports, run them with the up-front prompt selections you want and save them into your reporting folders.
- If you have the standard report scheduled then this will still send but will send with the new updated settings as outlined above.
- If you want to keep the current versions of both reports then you can save them, as they are now, before the 23/03/2023. You can find out how to do that here.
The change will happen on 23/03/2023. You don’t need to do anything to see the revised reports. The extended range of up-front prompts will be available as soon as the Learn update has happened.
