In this article, we'll take a tour of the Talent bank and show how to add and remove candidates.
In Recruit, adding candidates to your "Talent Bank" means actively flagging an individual, so you can find them again easily when searching across your whole system.
Related to this, we also refer to your "Talent Pools" which is a more general term referring to anyone you might want to consider for a future role, such as candidates who have registered for Job Alerts, provided a 'speculative' or 'general' application, or who have previously applied to your roles (see more on Talent Pools below).

Add candidates to the Talent Bank
Backoffice users can add people to the "Talent Bank" at any time. Simply choose the "Talent Bank" option from the menu available against individual candidates, and follow the instructions:
When you activate a candidate for the Talent Bank, they are automatically classified against the department/location of the role they applied to. For example, if you are Talent Banking a candidate with an application to a Sales role in Birmingham, those options will be checked automatically.
You can check more options if you want to be able to locate the candidate when searching against (e.g.) other departments or locations. Click 'Save profile' at the foot of the page to finalise.
In the example below, the candidate applied for a Sales role in Birmingham, so when searching the Talent bank for 'Birmingham' and/or 'Sales' roles, this candidate would come up.
Please note, as soon as you hit 'Save profile':
- the applicant will be sent the email 'Talent pool - Talent bank welcome' (unless a delay is set on the template which can be done in Settings->Email templates) - you will see this in their 'Person timeline'
- the applicant will see they have been added to the Talent Bank if they log in. They can deactivate the setting if preferred

There are various ways to locate Talent Banked candidates. Here are some key ones:
Vacancy-based search
You can search for potential candidates for a particular vacancy by running a 'vacancy-based search'. From any vacancy in your back-office vacancy list, choose the 'Search' option.
You will be taken to a list of individual people who match the vacancy. In this example, searching from a 'Birmingham Sales' role returns the following - note the "Talent pools" column on the data grid which shows one or more reasons for the candidate being found in this search:

The different 'Talent Pools' referenced in the Talent Pools column are as follows:
- Talent bank (individuals flagged for the Talent Bank by recruiters as described above)
- Registration of interest (this means the individual has completed the 'General application' available in the candidate portal)
- Job Alerts (the individual has opted to be automatically notified when a new role matching their preferences is published)
- Pipelined (the individual has an application at 'Pipelined' status - see this article on the pipeline feature
- Active applications (the individual has one or more active applications (i.e. not rejected)
- Rejected applications (the individual has one or more rejected applications
You can widen or narrow the search parameters in the panel on the left, which show that we are looking at Birmingham Sales people who may have been Talent banked, completed a General Application (Registration of interest) or Pipelined. We can contact the relevant people as appropriate, by phone, SMS or email.
Selecting people returned in this 'vacancy-based' search gives the option to 'Invite to vacancy' from the bulk action dropdown (lets you preview and send an email inviting people to apply to the specific role from which the search was created).
Alternatively, you could review applications submitted by these individuals and give them a call, then potentially use 'Transfer to vacancy' to move an existing application to the new role.
Instant search
A very quick way to find people is to run an instant search. Simply hit the magnifying glass at the top-right of your screen and start typing. It searches across most data in the system, including CVs uploaded by the candidate.
In this example, I'm searching the system for the term 'molecular biologist':
If I then click the 'Candidates' heading in the search results, I am taken to this page, where I can check where the search term was located, and adjust the search. As a default it searches using any words entered:
Clicking the options icon against any candidate on the results page shows you where in the candidate file the search term was located. Clicking 'View' against any candidate takes you to their timeline where you can review their previous application and contact them as required.
A useful feature of this search is that you can save frequently-used searches in your browser, so you can instantly run them again when logged into the Kallidus Recruit backoffice. You can see the search above is in the URL bar as follows:

We can change the search to being an exact match, which then looks like this:

Other search options
Also available via the search icon at the top-left of the screen are two other search options:
The other two search options let you build and save searches within the search page itself.
One advantage of these searches over the first 'Advanced search' is that they will take you to a prefiltered list of candidates (or people) matching your search criteria on the Candidates tab or Person list, which means you can then bulk email or SMS them if appropriate.
Simply choose the search parameters, give your search a name, and hit save (if you want to save your search for future use). It will then appear a the top of the search page. Here's an example of a saved search called 'IT - Bristol - project manager' which will return candidate applications submitted in the last 6 months:
