Introduction
Kallidus Recruit helps our customers get all candidate applications into one place, including those submitted by recruitment agents.
Add your agencies to the system, then add one or more agents to each agency, then you can invite those agents to submit candidates to relevant vacancies as and when required. You can also revoke this invitation at any time via the same process.
How to add a new and edit existing agency
- Click Add Agency on the Agencies tab sub-navigation
- Complete the Agency registration form
- Enter the email domain, e.g. if the agents’ email addresses are in the format firstname.surname@agency.com, you should enter just @agency.com as the email domain
- Optionally enter any notes about the agency (e.g. agreed terms or a reference to the terms in your own document management system) and/or upload the Ts & Cs doc for that agency
- Tick approved
- Set a relevant status (suggest using the Approved status, unless you are operating a tiered agency PSL, in which case you may choose to allocate agencies to Tier 1 (PSL T1) or Tier 2 (PSL T2)
- If you wish, you may configure the account locking functionality for each agency
- Finally, you may optionally add some information about agreed rates, e.g. Rate 10% for IT contractors, etc.
- Click Save to save the agency details or Cancel to cancel
To edit the details for an existing agency, click the Edit icon for the agency you want to edit in the list of agencies in the data grid (make sure you have selected Agencies, not Agents). Amend the existing information as indicated above.
Adding agents
Once you've added agencies, you can add agents to those agencies. Click Add agent in the Agencies sub-menu and complete the form.
Inviting agents to submit candidates
With your agencies and agents added, you are ready to invite them to a vacancy.
Go to the Vacancies tab and bring up your vacancy options against the vacancy to which you want to invite agents. Select 'Send to agencies' and choose the agents you want to invite.
If you want to invite all agents at an agency, select one agent from that agency, and choose 'Full agency invitation'. If you want to invite specific agents, select one or more agents and choose 'Selected agent invitation'. When using the bulk invite agents to a vacancy, only select 20 agents at a time, if there are greater than 20 these need to be split into multiple emails.
Hit 'Save invitation status', then click 'Send email to selected agents'. Select the 'Agency - Invite to vacancy' template, update it as required and hit 'Send'. When using the bulk invite agents and selecting multiple agents to a vacancy, only select 20 agents at a time, if there are greater than 20 these need to be split into multiple invites.
The agents will be able to submit candidates to your authorised vacancy by clicking the link to the Kallidus Recruit agency portal in the email.
If they haven't logged in before, they can request a password.
Revoking access
You can revoke access at any time by going back to the vacancy, selecting 'Update status' and changing the status.
