Creating a skills framework from scratch can take months - but with AI, it only takes seconds. In this article, we’ll show you how to use the AI generator to quickly create a tailored list of skills for your organisation, a specific job role, or an entire department.
You can also manually import an existing skills framework, which can complement any AI-generated skills.
Using AI at an organisation-wide level allows you to build your framework rapidly and at scale. You can then immediately apply these skills by tagging content or mapping them to people across the business.
If certain skills aren’t being used, you can assess whether they’re critical to support or remove them from your library, helping improve efficiency on a larger scale.
We'll cover:
- Generate Skills using AI - company-wide
- Generate Skills using AI - Job-specific
- Why use the organisation framework vs the job/ department option?
- What AI technology is being used
Top tip: If you don't have an existing framework or list of Skills, try using the AI generator first, then use the manual upload to plug any gaps - or add Skills you identify later.
Generate Skills using Ai - company-wide
- Select Skills from the top navigation
- Select Add Skills with Ai
- Select one of the existing sectors or select 'other' and add your own sector:
- The default is 'company-wide', so you can then add additional information in the 'description' section. This is optional, and can be anything; however, the more information given, the better AI will be at suggesting Skills. Note: there is a 300-character limit to this section:
- Select Continue to start generating Skills. This can take up to 30 seconds. You will then get a suggested list of Skills based on your input information. Note: You can go back and try different versions of information for the prompt:
- Unselect any Skills you don't want to import:
- Once happy, scroll to the bottom and click Add to Skills library
- You will get a confirmation that your Skills have been created
Important: You can use the AI skill generation as many times as you like. This means you can come back later to see if there are any further Skills that might be relevant to your organisation.
Generate Skills using Ai - job specific
It is also possible to generate Skills for a specific Skill profile you wish to create, such as a department, job family, or specific job title. This option benefits you by allowing you to generate Skills at a smaller scale, focus on high-impact areas, and build your skills framework over time.
Follow these steps to learn how:
- Select Skills from the top navigation
- Select Add Skills with Ai
- Select one of the existing sectors or select 'other' oradd your own sector:
- Select the option Job specific profile.
- Start typing the Skill profile name you wish to create. If one already exists, you'll see relevant matches as you type (Note: You can use the AI to build on existing skill profiles. This will suggest new Skills that aren't in that profile or your skills library):
5. Decide which skills you wish to add to you selected profile and select Add to profile. This will then create a new Skills profile or update your existing one
Note: If enabled, you will still get AI-suggested skills for a new or existing profile that will recommend skills from your current library as well. For more information on skill profiles, check out this article Create, manage, and assign a Skill profile.
Why use the organisation framework vs the job/ department option?
Both approaches are impactful and a combination of the two can also be used. Here's a comparison of one option vs the other but ultimately it's always about what's best for you to get the outcomes you're trying to achieve.
| Approach | Job/ department profiles built over time | Organisation-wide framework |
| Best for… | Focusing and starting on high-impact areas where skills gaps are most urgent and impactful, or when little is known about the skills required for a role | Quickly gaining a fuller picture by mapping skills, people, and content at scale to identify broader skill gaps |
| Pace | Smaller start but highly focused on solving a specific performance or business challenge. Greater urgency and faster action | Provides fast, broad visibility across the business, but rollout and impact on performance may take longer. Offers a more strategic, long-term view |
| Control | Scales over time with iteration as more stakeholders provide input and insight | High coverage with rapid generation, but requires longer iteration cycles and more data to validate real impact |
| Visibility | Deep insight into specific roles and closing those gaps to solve immediate and urgent needs | Broad visibility across all skills, roles, and gaps, including those you might have missed |
| Effort | Slightly higher effort over time, but focused and timely when it matters most | Removes 90% of the heavy lifting to get going at scale but still requires constant iteration and reviews |
| Impact | Easier to connect skills to immediate performance issues and directly link to business impact | Enables faster mapping of skills to existing learning content and people across the organisation to inform strategy. Can also identify missing skills from the scaled approach |
|
Long term value |
Designed to solve immediate business challenges with high impact | Builds a strong foundation for succession planning, risk assessment, and uncovering overlooked or emerging skills |
What AI technology is being used?
Our feature uses Azure OpenAI technology, which has strict safeguards in place to protect your data privacy. Only the specific information you enter in the prompt fields- such as Sector and Description - is processed. No Personally Identifiable Information (PII) is shared with Azure OpenAI.
Importantly, the model does not retain, learn from, or make any information available to other users. Your data is exclusively used for generating responses within your own environment and is not stored or shared externally.
