Kallidus Tip: Want to cancel an Event without deleting it?

By default, cancelling an event means deleting it - but once deleted, you lose the details in reporting. That means you can’t track metrics like the number of cancelled events or capture reasons for cancellation.
Here’s another way:
👉 Send an ad-hoc message to attendees letting them know the Event is cancelled
👉 Unenable the event so it’s no longer active/visible
Pro tip: Add an Event custom field to capture the reason for cancellation. It’s really helpful for tracking patterns and improving future planning.

To help with our tracking of cancelled/not used events we update the "Location" field to show *** Cancelled**, so everyone can see the date was created as a need, but due to reasons the event was cancelled. That way the events stay live for our reporting and we can filter out by the location which contains cancelled.
We like to have the events live to show in our reporting we planned on this number of events, but then this number was cancelled for these reasons. We have noticed that if we disable them sometimes they can be forgotten about in the report building and remembering to ensure you have both “enabled and disabled” included.

Really like that approach Claire Wescombe - good idea to keep the event enabled so it appears in reporting without having to make changes to your reports
