Working out how a Learn site is actually configured usually means opening a configuration export and moving between a lot of spreadsheet tabs, holding the connections in your head as you go. Which courses does this group get? Does that mandatory training actually repeat? Which of these lessons will a learner never really complete?
The Learn config explorer answers those questions for you. It's a single web page that reads a configuration export and turns it into something you can browse, search and filter, with the connections between groups, courses, lessons and accreditations already joined up.
Who it's for
Anyone who needs to understand or review the setup of a Learn site — implementation and integrations colleagues, support teams looking into a query, and administrators auditing their own configuration ahead of a change.
Getting the tool
Open the Learn config explorer
There's nothing to install. It's one HTML file — save it and open it in your browser, or open it straight from the link.
What you'll need
A Learn configuration export: the multi-tab .xlsx workbook with tabs named like 1.group courses, 4.group rules and d.course details. Any site's export works, as long as it follows that standard tab layout. If a tab is missing, the related section is simply empty and the overview tells you which sheets it couldn't find — nothing breaks.
Getting started
- Open the page and drag your export onto the upload area, or click to browse for it
- You'll land on the overview — a summary of the whole site with headline numbers for every area
- Click any figure, or use the tabs along the top, to drill into the detail
The Help tab inside the tool is the full guide, so there's no need to keep this article open alongside it.
What you can do with it
See the whole site at a glance
The overview gives you counts for groups, courses, lessons, catalogues, accreditations, email templates and roles, alongside a short list of things worth a look — empty groups, disabled content, and configuration that isn't behaving the way someone probably intended. Each one links straight through to the relevant tab with the filter already applied.
Understand a group in one place
Open any group to see its members, administrators, the courses and catalogues assigned to it, its accreditations with their expiry periods, and its automatic membership rules written out in plain English rather than raw operators. You can also work backwards — pick a course or an accreditation and see every group that has it.
Check whether mandatory training actually repeats
This is the one that tends to surprise people. A course only repeats for a group when its lessons sit in an enabled continuous accreditation with an expiry period and that same group holds both the course and the accreditation. Miss the second half and the training quietly never comes back around.
The mandatory training tab checks this for every group, flags the courses where some assigned groups won't repeat, and names the specific accreditation each group is missing — so you know exactly what to fix rather than just that something is wrong.
Spot training that completes without any activity
A lesson tracked by URL with no URL set has nothing for the learner to launch, so it completes the moment it's opened. Any course built from it can be signed off with no learning taking place at all — awkward on compliance training. The tool flags these, and prioritises them by reach, so you can start with the ones that are live for learners today rather than working through test content that nobody can see.
Plan assignments on a training matrix
Choose the groups and courses you're interested in and you get a grid. Click where a course meets a group to assign it, with the assignments that already exist shown in grey so you can see what's in place before you add to it.
Everything else
There are also tabs for courses, lessons, catalogues, accreditations, email templates, roles and permissions, and app settings. Expiry rules and enrolment methods are translated into readable language throughout — Y1 becomes "expires 1 year after being achieved" rather than something you have to decode.
Your data stays with you. The export is read entirely inside your browser. Nothing is uploaded anywhere, and closing or refreshing the page clears it. Please still handle configuration exports in line with our data classification guidelines — they can contain information about real people.
Good to know
- An export is a point-in-time snapshot, so anything changed in the LMS since it was generated won't show up — re-export for current figures
- Nothing you do in the tool is written back to the LMS or to your original file. It's for reading, planning and exporting
- Training matrix work isn't saved automatically. Use "save working state" before you close the page
- The page needs an internet connection the first time you load it, to fetch the library that reads spreadsheet files
- Very large exports are easier to work with if you filter before expanding sections
Editing group rules
The tool can also edit group rules and export the changes as an import-ready CSV, but this is switched off in the version we share by default — the group rules tab is read-only. If that's something you need for a piece of work, raise a ticket and we'll talk it through with you first, because a rules import replaces a group's entire rule set rather than adding to it.
Questions, problems or ideas
If the tool won't load your export, tell us which site the export came from and what the message under the upload area said — it names the tabs it found, which usually points straight at the problem.
If you've spotted something it reports incorrectly, or there's a check you'd find useful, we'd like to hear it. Raise a ticket with the detail and we'll take a look. Most of what's in the tool started as someone asking for it.
