How do group rules work?
I started with a clear walkthrough of what group rules are and how they automate learning assignments.
“With group rules set up, all you need to do is make that change in your HR system and it will lead to the right person being assigned the right training.”
We covered:
• When to use multiple conditions (AND)
• When to use multiple rules (OR)
• How HR data → group rules → course assignments all connect
Tips & Best Practice
Jordan shared some practical advice based on common support queries:
• Keep rules simple so they survive HR data changes
• Use wildcards (%) to handle inconsistent job titles
• Use group membership to exclude users (e.g., those who completed a more advanced course)
Q&A Highlights

Assigning training to many resource types
Attendees asked how to assign one course to multiple resource types without creating lots of separate rules. At the moment, each type still requires its own rule, and suggestions for improving this were encouraged via Airfocus. -
Managing long‑term absences
There were questions about preventing training from being assigned to people on long‑term absence when that status isn’t reflected in the HR feed. The discussion covered using a custom user field (e.g., LTA = Yes) to exclude users from rules, as well as the need to consider legal implications before removing training entirely. HR feed vs. manual changes
Another topic was whether manually disabling a user would be overridden by the next HR feed. The guidance was that configuration and group rules can help manage this, depending on how the data is structured.
