Kallidus Tip: Report Visibility vs Data Visibility - What’s the Difference?
Hello customer Community! đź‘‹Â
I’ve just helped a customer through something I know others might easily run into, so sharing here in case it saves you some head‑scratching!
It's related to these two features:
- Data visibility: override data restrictions to let a stakeholder see a report as you do
- Report visibility: Choose who can view each report in the reports hub
The key thing to know is, if you’re using report visibility to share a report with a specific Group, remember:
Being an administrator of a group does not make someone a member of that group.Â
So if you’ve shared visibility of a report with a specific Group, and someone still can’t see it, check if they're an admin or a member of the Group.Â
Remember - when viewing reports, using Data visibility, a Group admin can be permitted to see the data for the people in that Group. But when report visibility is used to a report with a Group, it is shared with the members of that Group.

Thanks for sharing this Dot! I'll be sure to mention it in the reporting permissions live event next week :)

Really great point there, Dot!
If a Group has multiple administrators, it may be preferable to use different groups to handle Data visibility and Report visibility.
Why?
In those cases, it’s often cleaner to:
- Keep your data visibility group as‑is, and
- Create a separate group specifically for report access (with only the people who actually need to view the report added as members)
And if you miss the live event mentioned above, you can watch a recording in The Academy.
