Power BI- seeing more people than just line reports
Hey Community! Want to share your Power BI data visibility without making someone a manager or admin? Here’s how 👇
Sometimes you need a colleague to help with reporting, but you don’t want them seeing everything — especially if they don’t manage those people or need full admin access. That’s where data visibility overrides come in!
Here’s what I did recently: I gave two colleagues access to my data visibility for 3 months — just enough time for them to support reporting without needing permanent access or elevated roles.
Here’s how you can do it too:
- Go to the Reports hub in Learn.
- Open any Fixed or User-created report.
- Select Actions > Report details.
- Scroll to the Data visibility section.
- Add a new override with a start and end date.
💡 The override lets them view the report as you, using your visibility level — but only for the time period you set.
A few things to know:
- Overrides are temporary and include both a start and end date.
- You can cancel or delete upcoming overrides, but active ones stay in the history for auditing.
- You can only share the visibility you have — no leapfrogging to higher access.
🔍 To use an override, your colleague just opens the report and selects Change data visibility to view it as you.
This is a great way to delegate reporting tasks without compromising data security or over-sharing access. I’ve found it super helpful for short-term collaboration!
