This page introduces the new Microsoft Teams App. We are really excited to roll this out and cannot wait for get your feedback on it.
Our new App enables learners and managers to receive notifications into Microsoft Teams. Once setup, any notifications that are sent to a person by email will also be delivered to them in Teams. This will be a duplicate of the email message and will bring these messages right into their flow of work.
There is a starter template for communications you can send attached to this article. Please use this as a basis for your communication to your learners.
Rolling out the App
The Kallidus App is now available within the Teams App store. Your learners can choose to install this or you can choose to mandate usage across our business.
Your IT team will need to make the App available to your users.
When reading this please review the summary section at the end. This summarises the options and puts the required steps into an order to follow.
Making the app available to your users
Your IT administrator will need to take the App from the store and make it available to those users who you wish to download the app. This will make it visible to those users so they can see and install this App. Please share these instructions with them.
You can add this app to your global (org wide default) if you wish to roll out this app to all your users. You must be a global admin or Teams service admin to manage these policies.
You can edit the settings in the global policy to include the apps that you want. To customize Teams for different groups of users in your organization, create and assign one or more custom policies.
Selecting a specific group to use this App - Creating a custom app setup policy, and understanding the requirements for the Kallidus Teams App
- You can use the Microsoft Teams admin centre to create a custom policy.
- In the left navigation of the Microsoft Teams admin centre, go to Teams apps > Setup policies.
- Select Add.
- Enter a name and description for the policy.
- Set the permissions in each section as desired. To allow-list the Kallidus app, set the section “Third-party apps” to “Allow specific apps and block all others”
- To add the app, click “Add apps” in the “Third-party apps” section and search for “Kallidus”
- Turn on or turn off Allow user pinning, depending on whether you want to let users personalize their app bar by pinning apps to it.
Installing the app for all users
Your application can easily be installed to all, or a select few of your users by anyone with access to your Admin.Teams.Microsoft.com account.
From here, go to Setup policies and you should be greeted by a list of all the groups in your organisation.
You can either select distinct groups, or the organisation wide group "Global". Choose “Global” if you wish to install this across your organisation for all users.
Select Add Apps under the Installed Apps section
From here, you can go to Manage Apps, and search for the Kallidus app, and select the "Add" button to the right.
This will install the app for all users in the group you've selected. Installation can take a while to propagate to all of your users, and once completed the user will receive a proactive message welcoming them to the bot and prompting them to complete the first time login to connect to Learn.
Switching on the App functionality in the admin side of Learn
Learners can only start to receive messages when you have switched on the functionality within the admin side of the system. To do this go to Settings>Email.
At the bottom of this section, select Notify Users via MS Teams.
Important: You will only be able to switch on notifications in Teams if at least one instance of the new app has been ‘linked’ to your version of Learn.

Learners can install the app themselves
You may decide you want to enable learners to install this themselves from the Teams App. To do this they can load MS Teams and select the Apps icon.
Once this has been selected they can search for ‘Kallidus’ and they can install the app from there:
The first app user for each organisation must link the app to your instance of the Learn system. We suggest you doing this so that you can ensure this is done correctly and is less of a barrier to adoption from your learners.
Summary
To get the app working in your organisation requires you to follow a specific sequence.
- Decide if you wish to use the app in the business (if no, go to the sub section entitled ‘Do not intend to use’. If yes, go to 2))
- Decide if you wish to roll this out to specific users, mandate across all users or let users decide if they want to install it themselves. (If you wish to mandate or make available to only specific users then go to ‘Rolling out the app to some or all of your users’ section. If you wish to allow users to install if they want to, then go to the ‘Allow users to install the app if they wish’ section’.)
Do not intend to use
- Make sure your IT team has not made the Kallidus app available. This could happen by default if settings are configured this way.
Rolling out the app to some or all of your users
- Speak with your IT Team and ask them to make the Kallidus app available to a subset of your users (if you are rolling out to a subset make sure you are in that subset).
- Be the first in your organisation to install the app. You must ‘link’ your organisation to the app (once this is done once then all other users do not need to do this step).
- Go into Settings>Email and switch on MS Teams messages.
- Once you are linked and messages are coming through to your version of teams (they are typically updated overnight) then you can then communicate to your users who have the app and let them know this is now on and working for them.
Allow users to install the app if they wish
- Speak with your IT Team and ask them to make the Kallidus app available to a subset of your users (if you are rolling out to a subset make sure you are in that subset).
- Be the first in your organisation to install the app. You must ‘link’ your organisation to the app (once this is done once then all other users do not need to do this step).
- Go into Settings>Email and switch on MS Teams messages.
- Once you are linked and messages are coming through to you then you can communicate with your population and invite them to install the app.
