When someone registers their details in Kallidus Recruit, an account is created. This single account, based on a unique email address, can be used to make multiple applications (each application a person makes is a "candidate"). A person may also not have any applications, e.g. if they simply register for Job alerts.
There may be times when you want to delete one or more "applications" (aka "candidates"), or you may want to delete an individual's whole account, for example, at their request.
Both options are described below.
n.b. You must be in a security group that includes the ability to delete a candidate. If you do not see this action as available then you are not enabled to access it and should talk to your super user(s) or system admin.
To delete a candidate or candidates, you need to select the candidate(s) in the data grid and select "Delete candidates" from the bulk action menu.
You will be presented with a confirmation box. Simply click "Yes, go ahead" to delete the candidate.
Deleting candidates is not possible to undo so please use this feature with caution.
Deleting a candidate will not leave any identifiable trace of the record for historical reporting purposes.
This action will only delete the candidate(s) and their application(s) selected on the data grid. If a candidate has submitted more than one application, ensure you select the relevant application for the relevant vacancy. If you wish to remove the entire account and all associated applications, please follow the instructions below instead.
Deleting an entire account
To complete this action you must be in a security group that includes the ability to delete a Person. If you do not see this action as available then you are not enabled to access it and should talk to your super user(s) or system admin.
Deleting an entire account will delete all of the following items associated with that account:
- All submitted and unsubmitted applications, regardless of status
- Deactivate and remove the account from the talent bank if activated
- Deactivate any job alerts
- Delete any speculative applications
- All audit entries against that account
- All data associated with that account
Removing an account would mean a candidate who wanted to apply for any future roles would need to re-register to create a new account. They could do so with the same email address, however no previous actions or applications would be re-associated with that account.
To delete an account click on the candidate tab and then select "List of people" or from the home screen simply click "Person list".
Search for the account you want to delete and from the action menu select "Delete".
After clicking delete, you'll be presented with an "Are you sure?" confirmation box. Clicking "Yes, go ahead" will flag this account for deletion and you will be presented with a success box as below.
The deletion of an account cannot be undone after it is performed so please use this feature with caution.
You may, however, undo an account deletion up until the point it is actually deleted.
