In this article, we'll explain how to add a past date to a Competency Check, which can be useful when the observation occurred before the Manager or Course Tutor had access to enter the details in Learn. This ensures an accurate record of when actions were completed.
What does this feature do?
This allows the person performing the check to backdate it to when it was actually undertaken.
We have received a lot of feedback telling us that people often informally undertake the checks required and then complete the admin side of things a few days later.
The person who is doing the check can now back date (not future date) the check to when it was actually undertaken.
The date will default to the day the check is loaded on screen but can be backdated if needed.
The backdated date will be recorded against the result and this is what will be shown on your reporting. It will also be used as the date on which any repeat training will be triggered.
Steps to switch the feature on
- Browse to the 'Settings' area from admin home:
- Select 'Other settings' from the administrations menu
- Find the listed entry for 'Option.CompetencyChecks.SetIssueDate' which by default is set to 'False':
- Select 'Edit'
- Enter 'true' in the editable field:
- Select 'Save'
To verify if the changes function correctly, it's advisable to set up a trial Competency Check for a designated Test User instead of using a live account. Doing so allows you to confirm the expected outcome before communicating or implementing it for other Users.
